Job Summary: We are seeking a diligent and customer-focused Collection Associate to join our Finance Department. The ideal candidate will be responsible for tracking down money owed to clients, analyzing accounts, making collection calls, applying payments, and resolving payment discrepancies. This role is crucial in maintaining the financial health of our company and ensuring excellent customer service.
Key Responsibilities:
Customer Focus:
- Perform outgoing/incoming calls and emails to resolve billing or invoice issues on past due and delinquent accounts.
- Provide customer service regarding collection issues, process and review account adjustments, and resolve payment discrepancies.
- Build good rapport with customers and provide excellent customer service.
- Execute collection initiatives and monitor commitment payment schedules.
- May perform fieldwork to follow-up and collect past due accounts.
- Communicate clearly and concisely with internal and external stakeholders.
Account Maintenance:
- Ensure customer accounts are updated accurately and timely in the SAP system.
- Apply deposits, cash/check payments, electronic payments, and other applicable payment methods.
- Provide timely and effective collection efforts to obtain payments on or before the due date.
- Monitor maturing accounts and prepare and send dunning letters to customers with overdue accounts.
- Update billing reports for various internal teams and communicate changes.
- Maintain a file of collection-related documents for ease of access.
Other Tasks:
- Perform additional tasks as assigned from time to time.
Qualifications:
Educational Requirement:
- Bachelor’s degree in Accountancy or any business-related course.
Work Experience:
- At least 1 year of experience in general accounting.
Knowledge Competencies:
- Clear understanding of the company’s vision and mission.
- Thorough understanding of company rules and regulations.
- Ability to work independently with minimal supervision.
- Exceptional Microsoft Office skills, including pivot tables, VLOOKUPs, formula building, and data sorting.
- Inclined towards customer service and resolving queries and disputes.
Skills Competencies:
- Strong written and verbal communication skills.
- Ability to maintain proper information flow within the organization and with clients.
- Willingness to learn and embrace constructive criticism.
